Privacy Policy - Clinically Slides
Overview
Clinically Slides is provided by CCMx Pty Limited (ABN 24 693 129 056) t/a Clinically (“we”, “us”, “our”). This policy explains how Clinically Slides handles personal information. It sits alongside the general Clinically Privacy Policy (PRV-001) and the Sub-Processor Register (PRV-002). Where they differ for Clinically Slides, this policy applies.
1. What Clinically Slides does
Clinically Slides turns a published research paper that you upload into an appraised, editable slide deck. It is for health professionals and students, and is educational: it does not give advice about any patient.
2. What we collect
Account details: your name, email address, password (stored only as a one-way hash), optional passkeys and two-factor settings, and your region (set from your connection when you sign up, and editable).
Agreements: when you accepted the terms of service and the start-up points, and which version.
Papers you upload: the PDF, images of its pages, crops of its figures and tables, and the analysis, decks, edit history and exports made from it.
Papers you make decks from: the paper’s DOI (its public identifier) and the date, for the popular-papers list (section 5A).
Usage records: how much AI processing each step used and what it cost, for our accounting. If you delete a paper or your account, these records stay, without any link to you.
Credits and payments: your credit balance and history. Card payments are handled by Stripe; we never see or store your card number.
Technical data: security and error logs. These record identifiers (such as the deck or export number), never the text of your papers, their titles, or signed download links.
We do not use advertising trackers or sell personal information.
3. Papers must not contain patient information
Clinically Slides is designed for published research. Each time you upload, you confirm that you hold a lawful copy and that the document contains no patient information. Please do not upload anything else.
4. How we use information
To provide the service: check, analyse and appraise your paper, build and store your deck, and export it.
To run your account: sign-in, security, credits, receipts and service emails (such as “your deck is ready”).
To keep the service safe and working: preventing abuse, scanning uploads for viruses, and fixing faults.
5. AI processing stays in Australia
Papers are analysed by AI models (Anthropic’s Claude) hosted on Amazon Web Services Bedrock in Sydney (ap-southeast-2). AWS does not keep prompts or outputs after processing and does not use them to train models. Papers are not sent to any other AI service.
5A. Popular papers
When you make a deck from a published paper, we record its DOI, the date and your account. Our home page may list papers that at least five different people have made decks from in the last 30 days. The list shows only the paper’s public details (title, journal and year, from Crossref) and a link to it at doi.org. It never shows who made a deck, how many people did, or anything from a deck. To build the list we send the DOI, and nothing about you, to Crossref. You can turn this off in Settings → Profile, which also deletes what we have recorded for you. Deleting the paper or your account deletes it too.
6. Where information is stored and who processes it
Your account, papers and decks are stored in Australia. We use these sub-processors (see PRV-002):
| Sub-processor | Purpose | Location |
|---|---|---|
| Amazon Web Services | Hosting, storage, email delivery and AI (Bedrock) | Australia (Sydney) |
| Cloudflare | Network security and delivery | Global edge network; in transit only |
| SMTP2GO | Service email | Australia |
| Stripe | Payments for credit packs | United States (billing data only) |
7. Who can see your papers
Only you. Papers, page images, figure crops, decks and exports are stored privately and reached only through your signed-in account or short-lived signed links. We do not share decks unless you export and share them yourself.
8. How long we keep information
Papers and everything made from them are kept until you delete them or your account.
Deleting a paper permanently removes the PDF, page images, figure crops, analyses, decks, edit history and exports.
Deleting your account does the same for every paper, then removes your account.
Credit and payment records are kept, without your name or email, as financial records required by law. Stripe keeps its own payment records under its terms.
9. Your choices and rights
You can view and edit your details in Settings, delete any paper at any time, and delete your account. You can ask for access to, or correction of, the personal information we hold about you by contacting support@clinically.com.au.
10. Data breaches
If a data breach is likely to result in serious harm, we will notify affected people and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.
11. Complaints
Contact support@clinically.com.au. We acknowledge complaints within 5 business days and aim to resolve them within 30 business days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner.
12. Changes
If this policy changes in a way that matters, we will tell you in the app before the change applies. The controlled document’s published version and date identify the applicable policy.
